Modernising records system delivery for greater efficiency at the Treasury

Situation

The Treasury, along with its satellite agency, the Australian Office of Financial Management (AOFM), had been using Content Manager (CM) to manage its vast records and content for over a decade. The system needed an upgrade to a more secure and efficient cloud-based solution. iCognition, which had supported The Treasury for over ten years, was tasked with transitioning millions of records and ensuring compliance with strict cybersecurity and information protection standards. With 250 users and high volumes of critical records processed daily, the Treasury’s system required a seamless migration and ongoing support.

 Task

The key objective for iCognition was to upgrade and transition The Treasury’s records management system to the Ingress Content Services Platform, a fully managed and cloud-hosted solution. Achieving ISO27001: 2022 certification for cybersecurity and IRAP (Australian Government Infosec Registered Assessors Program) compliance for handling protected information was essential. To meet these requirements, iCognition needed to significantly uplift its skills, achieve quality accreditations, and implement advanced security measures, all while ensuring minimal disruption to operations during the transition.

 Action

iCognition took a multi-pronged approach to meet The Treasury’s needs:

  1. Skills uplift and accreditation:
    iCognition undertook a comprehensive skills assessment, focusing on achieving ISO27001 certification and IRAP compliance. This involved developing new policies, implementing rigorous security protocols, and providing extensive staff training on privacy and cybersecurity standards. Technical configurations and testing were meticulously carried out to ensure the cloud environment met the required certification levels.
  2. Seamless migration:
    In just 60 days, iCognition successfully upgraded and transitioned The Treasury’s entire records management environment, migrating millions of records accumulated over more than a decade to the cloud. The transition to Ingress was completed smoothly, with continuous management of new information generated by the Treasury and AOFM.
  3. Ongoing support and integration:
    Following the migration, iCognition established a strict Service Level Agreement (SLA) support model to ensure the new cloud environment operated efficiently. Additionally, the solution included Ingress Connector, enabling unlimited integrations between line-of-business systems and Content Manager. This integration was essential for processing the large volumes of critical records generated daily by The Treasury’s business systems.

The successful migration to the Ingress Content Services Platform resulted in enhanced security, efficiency, and compliance for The Treasury. iCognition’s achievement of ISO27001 and IRAP accreditation ensured the new system met all cybersecurity and privacy requirements.
